Location: Canadian Centre for Policy Alternatives (Ottawa, ON)
Status: Full-time, one-year contract with the possibility of permanency.

The Canadian Centre for Policy Alternatives (CCPA), Canada’s leading progressive policy research institute, is looking for an Operations Manager/Executive Assistant in its National Office (Ottawa, ON). This is a full-time position, reporting to the Executive Director.  The Operations Manager and Executive Assistant participates as a member of the Management Team. The role is a hybrid encompassing participation in high level decision-making as well as hands-on administrative tasks. Principal Duties

  • Provide leadership for the administration of systems required for the effective and efficient operations of the organization – including financial, HR, IT and internal communications.

  • Develop and implement organizational policies, procedures and guidelines.  

  • Support the preparation and monitoring of organizational budgets.

  • Lead and support finance and administrative staff.

  • Manage the Ottawa office facilities, including recruiting and managing any external support services and provide guidance for other CCPA offices as required.

  • Ensure best practices and compliance concerning human resources policies, practices and procedures, including supporting the implementation of the Collective Agreement and related processes.

  • Support the Executive Director in maintaining relationships with external stakeholders and major donors and on key issues and projects.

  • Provide logistical support for Board of Directors, Membership and other related meetings, ensuring effective follow up for decisions and advice for development of sound governance policies and practices.

  • Play an active role in all aspects of organizational planning and administration.

Skills and Qualifications

  • Knowledge of and commitment to the CCPA’s mission and values.

  • Post-secondary education in a related discipline (accounting/finance/business administration) or equivalent combination of post-secondary education and experience.

  • Minimum five (5) years’ experience in a senior administrative position.

  • Superior written and verbal communication and interpersonal skills.

  • Excellent organizational and time management skills.

  • Exceptional attention to detail and demonstrated ability to design and implement administrative and HR systems.

  • An engaging and positive approach to work.

  • Knowledge of best practices related to non-profit, donor-funded organizations.

  • Excellent judgment, and a high degree of tact and discretion.

  • Demonstrated ability to work collegially, proactively and independently to find solutions in a fast-paced environment.

  • Proficiency with MS Office Suite with demonstrated comfort working with Excel and spreadsheets.

  • Work experience in the not-for-profit/charitable sector and experience in an HR role in a unionized environment are valuable assets.

  • Ability to work in both official languages (English and French) is an asset.
